Privacy Notice for WALTRONE MDM

Information on personal data processing in the Windows administration application and its Android agent.

Updated: October 2026

1. Scope and responsibilities

This notice concerns the WALTRONE MDM Windows administration application and its Android agent. The general WALTRONE website privacy notice additionally applies when visiting waltrone.de.

The MDM system is operated by the customer or organisation deploying it. When it manages devices used by employees or other individuals, that organisation generally determines the purposes and means of processing and acts as the responsible controller. Installing WALTRONE MDM does not, by itself, transmit all managed device data to WALTRONE. Actual responsibilities may differ depending on deployment and contractual arrangements.

2. Publisher and contact

For enquiries concerning the software and the public WALTRONE website, please contact:

WALTRONE / Alexander Cobucci
Haldenstraße 11 · 72406 Bisingen · Deutschland
kontakt@waltrone.de

For access or erasure requests concerning managed devices, affected individuals should first contact the organisation operating WALTRONE MDM.

3. Categories of information

Depending on enabled features, configuration and device permissions, WALTRONE MDM may process:

  • Device information: identifiers, device name, manufacturer/model, Android and agent versions, network/IP addresses, connectivity and operational status.
  • Administration data: device assignments, profiles, groups, kiosk and security settings, apps, commands, status information and diagnostic logs.
  • Account and licensing information: administrator accounts, authentication and security data, locally stored licence status.
  • Messages: administrator messages and replies from users of managed devices.
  • Optional remote features: requested screenshots, camera photos and location coordinates including timestamps and accuracy information, where supported and permitted.

Location details, messages and images can contain personal or sensitive information. Administrators should use these features only for a specific, lawful purpose.

4. Purposes and legal bases

The customer-operated system processes data to enrol, administer, configure and secure devices, investigate technical issues, and communicate with managed Android devices. The deploying organisation is responsible for determining an appropriate legal basis, informing affected individuals and obtaining any required permissions or consent. Article 6(1) GDPR and applicable employment/privacy laws may be relevant depending on the use case.

WALTRONE may process information submitted through support or licensing enquiries to take pre-contractual steps or perform agreements (Article 6(1)(b) GDPR) or to respond to legitimate enquiries (Article 6(1)(f) GDPR). Please see the website privacy notice for website-related processing.

5. Local storage and network traffic

By default, the Windows administration application stores operational data locally on the administration computer, typically in %LOCALAPPDATA%\waltrone1\MDM. Android agents communicate with the configured administration server over the network. Depending on deployment settings, HTTP or HTTPS may be used. Administrators must secure connections, accounts and access permissions appropriately.

Simply visiting the WALTRONE product website does not initiate device screenshots, camera captures or location requests. Those functions are available in the administration application for explicit actions, where supported and configured.

6. Internet connections

The Windows application may connect to waltrone.de to check the current Android-agent version. Normal web connection metadata (e.g. IP address, date/time and requested file) may be processed by the website host. User-initiated downloads or external links may create further connections. Information on hosting and server logs is provided in the general privacy notice.

The described version check does not require automatically uploading the complete locally managed device inventory to WALTRONE.

7. Retention and deletion

The retention of locally stored device data depends on the customer’s configuration and administration. The software offers functions to remove certain device records, conversations, stored screenshots and camera images. Automatic deletion can be configured for messages; by default, chat histories are scheduled for deletion after 24 hours of inactivity. Logs and backups may remain independently.

Trial expiry does not automatically delete managed devices or the local database. Before transferring or decommissioning an administration computer, the deploying organisation must arrange for appropriate deletion of its local data and backups.

8. Data subject rights

Subject to applicable legal requirements, individuals may have rights of access, rectification, erasure, restriction, data portability and objection, and may lodge a complaint with a data protection supervisory authority.

For managed device data, contact the organisation operating WALTRONE MDM. For enquiries addressed to WALTRONE: kontakt@waltrone.de.

9. Responsibilities of deploying organisations

Device management may provide extensive control over devices and access to information about their users. Before deployment, particularly on employee devices or where remote images and location are involved, organisations should evaluate access controls, transparency obligations, retention, and any applicable employee representation rights.

This notice describes the WALTRONE MDM feature set as of October 2026 and may be updated.
